Facility Portal Nederland B.V. (“FPN”) values the protection of personal data. This privacy statement informs individuals about the processing of their personal data by FPN, the purposes of that processing, the legal bases, retention periods, the rights of data subjects, and the technical and organizational security measures in place. FPN processes personal data in accordance with the General Data Protection Regulation (GDPR) and other applicable laws and regulations.

Purposes and Legal Bases of Processing

FPN processes personal data to contact you by phone or in writing upon your request, to execute agreements, and to comply with legal obligations. Processing is based on the consent of the data subject, the necessity for performing a contract, compliance with a legal obligation, the protection of vital interests, or the performance of a task carried out in the public interest or in the exercise of official authority.

Categories of Personal Data

FPN processes personal data you provide yourself or that are necessary for the services we provide. This may include your name, title, salutation, job position, company information, address, phone number, email address, date of birth, education, health data (for employees with explicit consent), citizen service number (BSN), copy of ID (for employees with explicit consent), IBAN/BIC, and other relevant information. FPN does not process personal data relating to race, political opinion, religion, trade union membership, sexual orientation, or health unless explicit consent has been given.

Storage and Security

All FPN devices, including computers, laptops, and phones, are protected with strong passwords. Personal data stored in the cloud is managed by an external IT provider using up-to-date security software, with backups performed every 14 days. FPN takes appropriate technical and organizational measures to protect personal data against unauthorized processing, loss, or damage.

Retention Periods

Personal data is not retained longer than necessary for the purposes for which it was collected. Generally, data is kept for the duration of an agreement and up to one year after termination. Legal obligations may require longer retention periods, for example, for tax purposes.

Rights of Data Subjects

You have the right to access, correct, or delete your personal data. Requests can be sent to backoffice@facilityportal.nl, and FPN will respond within four weeks. If you believe your personal data is processed incorrectly or unlawfully, you can file a complaint with the Dutch Data Protection Authority via www.autoriteitpersoonsgegevens.nl.

Processors and Recipients

FPN uses processors who process personal data on behalf of FPN. Recipients are parties to whom personal data is provided solely for necessary purposes or to comply with legal obligations. Third parties receive personal data only with your written consent or when necessary for the execution of an agreement.

Website and Cookies

FPN collects general website visitor data for analysis and improvement of services. Analytical cookies, including Google Analytics, are only placed after visitors have given consent via a cookie banner. Functional cookies necessary for the operation of the website are always placed. Data collected via Google Analytics is stored in the United States, and FPN has not authorized Google to use this data for other services.

Newsletter and Marketing

Your email address will only be added to newsletters or cross-selling communications if you have explicitly given consent through manual registration on the website.
